We are currently seeking a talented and creative people to join our Member Services team as a Tradeshow Operations Manager.
Information, creative content, and process focused position responsible for management of feature vehicle program, event websites, message and brand cohesiveness, temporary labor management, SEMA Ignited production assistance and logistical support as appropriate. Highly detail-oriented position requires accurate updating of exhibitor and attendee messaging as well as interaction with customers to aid participation in applicable Show programs. This role includes working with internal and external stakeholders and an acute knowledge of the purpose and vision of all SEMA events to communicate and effectively support the association’s goal of producing the industry’s leading events.
Qualified candidate will possess an operational tradeshow background in order to oversee all aspects of tradeshow management. Ideal candidate will be an event professional who is experienced in working behind the scenes of an event with tradeshow contractors, exhibitors and related partners.
Responsibilities and Authority
Responsible for managing the SEMA Show Feature Vehicle Program. This includes online customer forms, data oversight and qualifying based on exhibit status; managing the process-flow and customer experience for on-site move in, placement and tracking of vehicles, scheduling staff and temporary employees. Serve as customer service liaison for feature vehicle owners and sponsors. Coordinate annual vehicle selection meeting and organize submissions into easy to access format to facilitate an efficient judging process.
Manage temporary labor vendor for pre-show and onsite labor needs. Work with internal stakeholders to create a schedule of necessary job positions that includes specific roles and personnel where applicable. Review schedules with labor vendor and ensure all positions are filled as needed, invoices are correct, and timecards are recorded. Work with agency to supply training materials or presentations for staff. When appropriate research labor rates and proposals from new companies in preparation for labor analysis and possible RFP.
Oversee implementation of updates to SEMA Show website including periodic updates, new content, and integration of marketing and brand messaging. Review content regularly to ensure that information is complete, accurate and adheres to marketing campaign strategy. Provide content and edits as necessary. If necessary and as technology evolves, manage development of new website redesign with internal and external stakeholders.
Manage marketing message cohesion with internal and external stakeholders to solidify brand strategy and voice to Show attendees and exhibitors in weekly emails, SEMA eNews, mobile application, Show advertising and sales and sponsorship promotional materials.
Responsible for mobile app including managing the vendors and researching proposals to find the best alternative for the Show needs that incorporates a dashboard of registration and event information, hotel confirmations, meeting schedulers, floor plan integration and way-finding features.
Assist with production of SEMA Ignited event; working with internal stakeholders to create floorplans, coordinate temporary and security personnel schedules, assist with onsite management of external vendors and features. Participate in regular operations and marketing meetings to ensure message campaigns and event plans are in concert with culmination of SEMA Show and SEMA Cruise.
Compile and write the Post Show Analysis report. Collect information from all stakeholders and assist in creating report that incorporates registration data, logistical statistics, success/opportunity documentation into a useful format convenient for future Show planning use and historical comparisons.
Coordinate Shuttle Bus project at SEMA Show including bus routes, frequency, expenses and contingency plans. Work with transportation vendor and stakeholders on finding efficiencies and cost savings while maintaining the highest levels of service.
Oversee Contest and Logo requests from exhibitors wishing to promote the SEMA Show within the guidelines set forth by the Show. Contact companies found not in compliance and work with them to amend their programs to qualify.
Oversee First Aid vendor for the Show including contract, staffing, and facility requirements.
Write and maintain SOP documents for tasks and procedures pertaining to job duties to be included in a comprehensive Show Department SOP file.
When directed by management, perform other assignments and duties as required.
Reports to the Trade Shows Director.
Interfaces with show department stakeholders, support staff personnel and other divisions and Directors as needed.
Communicates regularly with Association members, vendors, exhibitors, potential exhibitors, buyers and potential buyers.

PRIMARY SKILLS & REQUIREMENTS:
An associate or college degree (Marketing, Communications) or an equivalent number of years’ experience (5-7 years) in the trade show industry, event operations, meetings and events, performing similar duties with the stated necessary appropriate skills or proficiencies.
Ability to communicate clearly and concisely, verbally and in writing with internal members of the team, management, stakeholders, vendors, etc. with strong presentation skills.
Effective organizational, multi-tasking, and prioritizing skills. Able to meet multiple project deadlines and demonstrate excellent attention to detail
Proven ability to manage/lead teams to include external vendors, contractors, temps etc. A demonstrated track record of holding others accountable, even when they don’t report to this position.
Possess strong problem solving and decision-making skills.
Must have excellent interpersonal skills and customer service skills.
Conflict resolution and diplomacy with internal and external customers essential.
Flexibility to adapt to changing work demands and follow through with minimum direction.
Adept (intermediate to expert skills) in using Microsoft Office, particularly Excel, Word, Outlook and
Strong aptitude to learn new software programs is required, computer systems and software, including netFORUM, Basecamp, Expocad, Great Plains.
Ability to attend SEMA-sponsored shows and events as well as other industry events as necessary. 20-30% travel.
